Search and Filter Improvements

1. Advanced search for administrators

You now have an ‘advanced search’ option in the CareMonkey administrator view. The advanced search lets you search by age, group name or medical condition. You can also combine the search, for example, to find all people who are 9 to 10 in a ‘club’ group with Asthma.

2. Search the Care Central Form Library

This is a great new feature, especially for those of you who work in organizations using lots of CareMonkey self-service forms. We’ve added a search feature to help users find forms and responses in their Care Central Form Library. You can now find eForms by searching the name of a form or the answers contained in a submitted form. For details, view this article: Search the Care Central Form Library.

3. Superior Form Library filters and sorting

The Filter and Sort options have been updated to provide more powerful searching. When filtering, you can select as many options as you require, then press the ‘Apply’ button. To reset your filters press the ‘Clear’ button. We’ve also moved ‘Categories’ into the filter search function so all search criteria are in one place.

4. Only send first eForm request

A new automation setting for eForm reminders allows Administrators to send the initial eForm completion request, and to not follow-it-up with any reminder emails.

5. One notification (SMS, Email Push) per contact (Group Edition)

Now you can ensure a message is only sent once to a parent/guardian contact, regardless of how many student profiles are related to that contact (this capability already exists in Community Edition). When sending the same message to groups of students, selecting the checkbox (shown in the image to the right) ensures that the recipient won’t receive the message multiple times.

Student Changes Report (Group Edition)

6. Student Changes Report (Group Edition)

The Student Changes Report is now available in CareMonkey Group Edition ((Community Edition users already have the ‘Profile Changes’ report). The report enables school administrators to see changes to student records from one date to another, including changes to a student’s Dietary Requirements. 7. Staff-generated Student Profile Reports (Group Edition)

Staff members (i.e., teachers, supervisors, etc.) can now  generate a report of student profiles. CareMonkey generates the report as a PDF file and saves it onto your computer (already available in Community Edition). For details, go here: How does a Staff member generate reports? (Group Edition).

Updates to Exporting Capabilities

Export Medical Conditions (Group Edition)

8. Import and export student medical conditions (Group Edition)

CareMonkey Group Edition now lets you import student medical conditions: Go into students > click Add > Select Import Student Medical Conditions. For details, see our Knowledge Base article, How to import student medical conditions. And exporting student medical conditions is now just as easy too: Click on Reports and Archives > Select CSV Export Student Medical Conditions. The export will automatically download as a CSV file. 9. Print login credentials (Group Edition)

Administrators are now able to print out the login credentials of selected parents and staff. For example, the generated PDF file containing login details can be printed and handed to parents or staff who have never logged into CareMonkey. 10. CSV export login credentials (Group Edition)

Not only can CareMonkey Administrators now print out login credentials for parents or staff who have never logged into CareMonkey (see above), but now you can also export those credentials to a CSV file too. New Forms Capabilities

11. Embeddable public URLs for Self-Service Forms

Self-service forms now have a public URL. You can paste the URL for any Self-Service Form into an email, text message or on your website. This gives you and your respondents far great flexibility, able to integrate CareMonkey forms easily into third-party platforms and communications channels.

When a parent or staff clicks on the link, they will be taken straight to that form (they’ll be asked to sign in first, if they’re not already signed in). Find out more here: How do I add a link to a Self-Service form into my email or website?

12. Direct eForm access from CareMonkey email

When a user receives an email requesting them to Respond Now to an eForm, pressing the button will take them directly to the eForm (if they are already logged in). If the aren’t logged in, they will be presented with the login screen and then taken directly to the specific eForm.

13. Allow staff to enable eForms

In the past, administrators could give staff the ability to create eForms but they were not able to enable the form. We’ve now added a new option to let administrators give staff the ability to enable/disable eForms. 14. Grouping for Self-Service eForms

The Form Library now groups eForms by the form name. For example, instead of having three ‘Student Absentee Forms’ for three children, just one will be displayed. When clicked, CareMonkey will ask you to select one of the three children.

New Date-based Features

15. Visible Self-Service Form submission dates

The date that a Self-Service Form is submitted is now visible to users and approvers. Pretty self-explanatory, but pretty handy for tracking and reporting.

16. Automatically enable eForms on a future date

eForms can now be created in advance and automatically enabled at a future date.  This allows administrators to create eForms in bulk and have each of them automatically enabled some time in the future. Once the date is set you can be confident that the eForm will be sent to the selected parents or staff on that date. 17. Automatically archive member on a set date

When manually adding a new staff member, you’ll see a new option to Auto-archive member on a set date. This is useful when you want to add a temporary staff member.

18. Unarchiving eForms

19. View and unarchive eForms from last 3 years

Originally, archived eForms were only visible in the Form Library if they were less than a year old. We’ve now increased this to 3 years. Use the filter in the Form Library to view and unarchive your eForms.

Enhanced Payment Features

20. PayPal payment option available worldwide

You’ve had the ability to collect payments via Stripe for years, and now you have the option of using PayPal as a method for collecting payments. Setting-up PayPal to work with CareMonkey takes a few simple steps, which you can read about here: Setting up PayPal in CareMonkey.

21. Payments with instalments

Most payments made through CareMonkey eForms involve a single transaction. However, you can now also offer an instalment plan, where respondents can make multiple payments over a defined period of time. Find out how it works: How to set up payments with instalments.

22. Additional information for Stripe payments

When payments are made through Stripe, administrators are now able to see more information about the payment when they log into their Stripe account. The additional information includes: Student ID, Student Name, Contact Email, Contact Name, eForm Name.

24. New phone icons for student contacts (Group Edition)

To make it easier for staff using CareMonkey, we’ve added two new phone icons to the Student Contacts Screen. These icons indicate whether a phone number is able to receive SMS text messages.
